WHAT WE LOOK FOR:

As an special officer, you will be responsible for most work-related tasks related to the founders in the office and personal errands with minimal supervision. You will also have the opportunity to make executive decisions and act as a gatekeeper for the founders. This is not an easy job as the work scope covers multiple responsibilities in multiple companies with extremely high expectations on every delivery but if you’re the kind who enjoys getting things done and have high ambitions, this is the perfect role as you will be able to learn what it takes to run a company and who knows, to replace the founders’ roles completely.

High-level Responsibilities:

 

  • To assist founders in managing and coordinating instructions in accordance with client agreed plans and strategies.
  • To assist and advise founders on issues with regards to the government policies and requirements.
  • To assist founders on their work/personal daily matters.

 

Scope of work & job responsibilities:

 

  • 50% - Executive office matters (background research/liaising/following-up with clients, processing & delegation of tasks/scope to other departments, project planning & resource allocation etc)
    • Manage Director’s Office and supporting staff in other Director’s office
    • Assist and provide strategic policy advice based on research and information gathered from related ministries, agencies and relevant stakeholders
    • Prepare and facts finding on clients, initiatives & internal team
    • Assist in developing, providing ideas, drafting and executing initiatives/ programmes
    • Working with Financial Institutions partners for special initiatives
  • 30% - Personal office matters (meeting minutes, calendar/schedule management, checking/replying emails/linkedin, signatures, dealing with administrative bankings etc)
    • Initiate and coordinate meetings with regards to new policies, initiatives and proposals
    • Act as Liaison Officer and maintain strong relationships with government ministries, agencies and other stakeholders
  • 20% - Personal/private matters (claims/billings, taxes, buying items etc)

 

Job Requirements

  • Proactive
  • Fluent in English & Bahasa Melayu – both written and spoken.
  • Tech savvy
  • Must have relevant experience (whether as a PA, EA or SO)
  • Willing to learn, adapt and proactive for new challenges
  • Able to communicate and effectively work with employees at all levels of the organization
  • Ability to read, interpret technical documents and regulations.
  • Must be able to readily adjust priorities and tasks in response to business needs
  • Extreme discretion as you will be working with c-levels in other companies & multiple initiatives
  • Must be flexible and able to work effectively within a dynamic matrix organization with little or no direct supervision
